ITALY: IVANA VEGETTI

I believe in weddings that reflect who you are; I believe in details that speak, in atmospheres that stay, in beauty that rises from harmony. My work is to transform a desire into an experience that lasts, with delicacy, precision, and a vision that breathes…”

Ivana Vegetti, Wedding Planner & Event Designer

Ivana Vegetti is a wedding planner and event designer working across Milan, Lake Maggiore, Piedmont, Lombardy, and Tuscany, locations with their own voice – places she interprets with care and sensitivity. Here, we go behind the scenes with Ivana to discuss overcoming the natural challenges that come with producing an extraordinary event…

C&B: “Ivana, your company is very well known for its destination wedding concept; what is the profile of your typical client?”

IV: “My couples are people with a vision. They are not simply looking for a well-organised wedding; they want an experience that reflects who they are. They are professionals, entrepreneurs, creatives, travellers – people who have seen the world and desire an event that speaks their aesthetic language. They appreciate care, precision, and authentic beauty. Many come from abroad and are looking for a guide who can interpret Italy with a contemporary sensibility. Others dream of an intimate celebration, while some imagine something more scenographic. What unites them is the pursuit of serenity: they want to live their day without any concerns, knowing that every detail has been thoughtfully crafted…”

I collaborate with international couples who choose Italy for its natural elegance, for its light that cannot be replicated elsewhere, and for its ability to turn a single day into a lasting memory. My work begins with a simple idea: a wedding is not an event, but a world; a world that must be imagined, shaped, directed, and protected. I love creating atmospheres that are not only beautiful, but that breathe something deeper: a story, a character, an emotion…”

C&B: “What’s the typical timeline when planning a destination wedding?”

IV: “The timeline is a journey. It begins with listening: understanding who they are, what they imagine, what moves them. From there, I build a structure that is never rigid, but alive. Usually the process lasts nine to fourteen months, sometimes longer for destination weddings. There are meetings, creative reviews, site inspections, moments of reflection and moments of decision. The timeline is a thread that guides the couple toward their wedding day without ever losing direction; it’s a balance between planning and sensitivity, between method and intuition…”

A wedding is an orchestra; every professional involved in the production is an instrument, and my responsibility is to make them play in harmony…”

C&B: “Planning any significant occasion comes with challenges; what would you say are those associated with a wedding?”

IV: “The most complex part of planning a luxury wedding is the part no one sees. It’s the silent direction, the ability to anticipate what could happen, to manage what actually does happen, and to ensure the couple isn’t aware of any of it. Coordinating large teams, balancing aesthetics and functionality, staying calm when time is tight – this all requires a constant yet discreet presence. My challenge is to make what is complex appear effortless. Beauty, to be truly felt, must be fluid. And fluidity is a work of precision…”

I remember a wedding where the weather changed everything. The ceremony was planned outdoors, but sudden rain made it impossible to proceed as planned. In less than two hours, I redesigned the layout, the guest flow, and the entire scenography, turning an indoor space into an intimate and poetic environment. The couple wasn’t aware of any tension. For me, this is the heart of my work: transforming a limitation into an aesthetic opportunity. Calm is my strength; vision is my guide…”

C&B: “”Final question, Ivana: As the planner, you are key to a successful and unique wedding, but so is the team of vendors you put together. How do you select yours?”

IV: “Location, catering, photographer, floral designer, light and sound, décor, entertainment, logistics: each choice is a piece of the experience. My operational team is the silent heart of the event, ensuring order, precision, and presence. Selecting vendors is one of the most delicate phases because it determines the quality of the final result. I don’t only look for skill; I look for coherence, sensitivity, and the ability to work in harmony…”

Every wedding must have alternative plans, insurance coverage, and ready-to-activate solutions. Safety is an invisible yet essential value. Protecting the couple’s serenity means anticipating, preparing, and safeguarding. Beauty cannot exist without solidity…”

C&B: “What would you is the most time consuming or complex installation on the day of the wedding that couples should be aware of in advance?”

IV: “Scenographic installations are where vision becomes matter. They are complex because they require time, coordination, and impeccable direction. Suspended structures, monumental floral compositions, immersive lighting: these elements transform a space into an experience. I love this moment because it is when everything takes shape. It’s the passage from design to reality, and it’s always moving to see how a place changes, breathes, and comes alive…”
